The Caring and Prayer Ministry Assistant provides administrative support for the congregational care ministry of a large membership, multi-campus church with specific emphasis on Pastoral Care and Prayer Ministry. This role works in collaboration with central staff and in alignment with The Woodlands Methodist Church’s mission to reach people for Jesus Christ, disciple them in faith, and help those in need.

ESSENTIAL FUNCTIONS

  • Create a culture where volunteers love to serve by recruiting, coaching, equipping, and empowering a full team of volunteer leaders for Caring Ministry.
  • Communicate neatly and concisely via phone, email, and text to serve the congregation in scheduling appointments.
  • Assist those in need by referring them to an outside organization, one of TWMCs Pastors, or a counseling center.
  • Respond to non-emergency answering service calls.
  • Distribute birth and death announcements, along with sympathy cards and grief booklets to members as needed.
  • Liaison between church and families experiencing loss and grief.
  • Coordinate, prepare, and support funeral and memorial services as needed.
  • Communicate with staff, funeral pastoral care team, and funeral homes of upcoming funerals.
  • Collaborate with families in gathering information and creating funeral bulletins.
  • Assist in organizing Caring Appreciation lunch and Prayer Shawl appreciation events.
  • Facilitate Senior Adult Fitness kickoff event in January at The Woodlands campus including purchasing gifts and snacks.
  • Assist with prayer ministry coordination, administrative oversight of ministry, and meeting preparations for weekly prayer groups, including purchasing materials, room reservations, and coordination of room set-up.
  • Create events for classes, memorial services, inurnments, and groups using FMX.
  • Update and review FMX as needed.
  • Create program registrations, update member profiles in Rock church management system.
  • Track hospitalizations, cancer, hospice, physical rehab, homebound, etc.
  • Run reports as requested for Administrative Board.
  • Submit programming information to Creative Services for publication using communications request form in Rock.
  • Update Care Ministry website as needed.
  • Send emails, schedule classes online, and track registration for Divorce Care ministry.
  • Set-up treats with coffee cart for Prayer Shawl monthly meetings.
  • Set-up room and keep attendance in G.R.O.W. for Senior Adult Fitness.
  • Coordinate, collect, organize, and distribute weekly prayer list to submit to pastors and MailChimp prayer members.
  • Prepare artwork and submission for quarterly postcards to members.

The Fireside Café Associate serves as a welcoming presence to church members, guests, school families, staff and visitors by providing exceptional customer service and high-quality food and beverage support within Fireside Café. This role contributes to creating a warm and hospitable environment that reflects the mission and values of The Woodlands Methodist Church.

The ideal candidate is service-minded, dependable, team-oriented, and enjoys building relationships while working in a fast-paced café environment. Responsibilities include food and beverage preparation, cash handling, maintaining cleanliness and food safety standards, supporting café operations, and assisting with deliveries and special hospitality needs throughout the church campus and school. This position supports the Ministry of Hospitality by helping guests feel welcomed, valued, and cared for each day.

Essential Responsibilities Guest Experience and Hospitality

Food Safety and Cleanliness

Summary:

The Media Tech will work alongside their fellow techs to provide technical services to church ministry clients and guests. This position is integrated into a team where participation in all events and tasks will be expected as assigned, however, there will be heavy emphasis on campus support for all campuses of The Woodlands Methodist Church. This role works in collaboration with central staff and in alignment with The Woodlands Methodist Church’s mission to reach people for Jesus Christ, disciple them in faith, and help those in need.

Essential Functions:

  • Work with the Scheduling Manager to support ministry events on church campuses.
  • Operate an audio console during services each week.
  • Transport and perform AVL system setup on a weekly basis.
  • Thoroughly check AVL systems for any needed maintenance or programming changes.
  • Personally perform basic maintenance needs such as troubleshooting audio/video signal flow. Follow industry safety standards in all situations such as working at heights and rigging of AVL gear.
  • Maintain equipment inventory in multiple locations that requires diligence in proper storage, purchasing, and communication of additional needs to your supervisor.
  • Perform duties that fall outside of the audio category such as running lighting or graphics for a worship service, building video screens, or assisting in a scenic construction project when requested.

The focus of this role is to serve as the church organist for the 7:45, 9:00 and 11:00 a.m. worship services. The Organist also serves as accompanist for Chancel Choir and/or Sanctuary Orchestra rehearsals and as the primary accompanist for the Senior Adult Choir. Additionally, the Organist serves as the primary keyboardist for weddings and funerals. ESSENTIAL FUNCTIONS

Worship Leadership and Support

  • Create and execute the Membership Journey initiative on all campuses.
  • Prepare and perform organ music for weekly worship services, including preludes, postludes, hymns, and other assigned service music.
  • Support the planning and execution of worship services, rehearsals, and special worship events throughout the church year.
  • Prepare all musical materials in advance of rehearsals and performances with a high level of musical accuracy and professionalism.

The Payroll and Benefits Manager is responsible for the strategic oversight, accuracy, and compliance of all payroll and benefits functions for The Woodlands Methodist Church. This position ensures timely and accurate payroll processing, proper administration of employee benefits, and continuous improvement of systems and processes to support organizational effectiveness. KEY RESPONSIBILITIES

The Payroll & Benefits Manager will lead all payroll and benefits functions with a proactive, detail-oriented approach, demonstrating deep knowledge and ownership of these areas.

Payroll Oversight

  • Oversee end-to-end payroll processing across all campuses and employee groups
  • Ensure compliance with federal, state, and local wage and hour laws
  • Review and approve payroll prior to final submission
  • Liaise with payroll provider (Alliance) to ensure timely and accurate payroll tax filings, reconciliations, and year-end reporting (W-2s, etc.)
  • Establish and maintain payroll controls and audit processes

Benefits Administration

  • Oversee benefits enrollment, changes, and terminations
  • Partner with brokers/vendors on plan administration and compliance
  • Ensure accuracy of deductions and reporting

This individual is an administrative professional effective in planning, prioritizing and executing tasks in a timely manner as well as building and maintaining strong relationships both internally and externally.


ESSENTIAL FUNCTIONS

Hospitality

  • Meet and greet all visitors to the church office, maintaining a professional and warm reception atmosphere. Prepare coffee service for hospitality area and other ministry events. Answer general information questions about the church and church events. Answer the telephone and direct calls to the appropriate ministry/person. Accept and sign for all church deliveries.

Ministry Assistance

  • Support team members and volunteers, cultivate relationships with supported partner ministries, and meet with them, as necessary. Support Woodforest Recreation Ministry and Serve Coordinator, Women’s Ministry Coordinator and Discipleship Pastor with registrations, promotions, nametags and preparation materials. Maintain First-Time visitor bags and new member bags. Seek volunteers to prepare and serve communion. Process reimbursement requests and ACH forms. Submit Communication requests to Creative Services for posters, flyers, web changes. Assist with Memorial services as needed. Attend ministry meetings, staff meetings, and other training as required.

Facility

  • Manage requests and assignments for meeting rooms and coordinate with the Facilities team to ensure rooms are ready for meetings and events. Process facility rental contracts. Provide facility booking schedules to DTK staff and volunteer property team weekly. Maintain Connection Point materials and electronic marquee. Submit maintenance requests and follow up with the Facilities team. Maintain master key cabinet, request/provide keys, badges, and codes to ministry leads. Schedule and oversee volunteer receptionists. Monitor pantry and coffee supplies and handle orders for replacement.

Computer

  • Update ROCK database (weekly worship attendance, group attendance as needed, maintain membership records, etc.). Provide administrative assistance with computer work, copies, distribution, and correspondence. Prepare First-time visitor report and present to Pastor and Serve Coordinator weekly. Send emails to visitors on behalf of the Pastor. Use Canva to design nametags, flyers, and internal signage. Monitor website, bulletins and monitor slides for accuracy and relevance.

The Special Needs Ministry Assistant provides a consistent adult staff presence for Special Needs Youth and Adults Ministry activities while fostering a positive environment for discipleship, fellowship, and worship. This role works in collaboration with central staff and in alignment with The Woodlands Methodist Church’s mission to reach people for Jesus Christ, disciple them in faith, and help those in need.


ESSENTIAL FUNCTIONS

  • Assist Special Needs Coordinator across all campuses as directed, including but limited to:
    • Prepare teaching materials for Sunday School
    • Recruiting, training, and scheduling of ministry interns and volunteers
    • Facilitate activities for ministry programs, Special Needs Family Worship, and events.
    • Prepare for Special Needs Family Worship, ministry programs, and events.
    • Ensure the environment is clean and all materials are put away.
    • Maintain records, documentation, and prayer requests with sensitivity and confidentiality.
    • Provide guidance to interns and volunteers
    • Participation in the spiritual formation of individuals with special needs.
    • Schedule and set up rooms, registrations, maintenance requests, media, and tech support.
    • Communicate about events and ministry programs with Special Needs Families and Caregivers across a variety of platforms including social media.
    • Support outreach and cross-campus efforts and programs.
    • Set up orders and materials lists for purchasing.
    • Maintain the Special Needs Youth and Adults Ministry Calendar.
    • Other duties as assigned.

TWMS Athletics Coach will guide our student athletes and teach them the correct way to participate in sports. This position will study the rules, techniques and other technical aspects of a game. TWMS Athletics Coach will formulate training plans and look at areas such as the athlete and team’s performance, nutrition, educational performance at school and issues they may be having at home. In addition, TWMS Athletics Coach will coach middle school athletic teams through daily practices and weekly competitions. Responsibilities include athlete supervision, skill instruction, game preparation, and fostering a positive, team-oriented environment consistent with school values. A TWMS Athletics Coach will mentor our young athletes in the sport as well as their journey of faith. This position starts at 2:15 p.m. daily.

The Athletics Coach reports to the Director of Athletics.

SCOPE

Work with and supervise students participating in before and after school Eagle Club. Students will be engaging in art, recreation, games, playground activities and self-directed homework.

The TWMS part-time Elementary School PE Teacher is responsible for developing the foundational physical literacy, motor skills, and health awareness of PreK and Kindergarten students. The part-time Elementary School PE Teacher will mentor our young students in their journey of faith. After PE, the TWMS part-time Elementary School PE Teacher will be responsible for coaching middle school athletics. Duties include conducting daily practices, supervising student-athletes, attending weekly games and meets, teaching sport-specific skills, promoting sportsmanship, and supporting the overall mission and expectations of the athletic program.

The Middle School Coach must provide a safe, positive, and developmentally appropriate environment for all participants. The TWMS Elementary School PE Teacher/Middle School Coach position starts at 12:30 p.m. daily.

DUTIES AND RESPONSIBILITIES

  • Design and implement age-appropriate lesson plans based on state or national standards (such as SHAPE America) that focus on motor skills, fitness, and health education.
  • Teach fundamental movements such as throwing, catching, running, and jumping, as well as introducing basic team sports, rhythms, and dance.
  • Instruct students on the benefits of regular exercise, proper nutrition, and healthy lifestyle choices.
